Determine if the outgoing material consists of WARF owned material. If a material has been assign to WARF, then WARF has the authority to share the material.
In these instances, the researcher should connect with their contact at WARF, or mta@warf.org, to coordinate this transfer.
Determine if the material was created using third party components
When an outgoing material is created using third party components, there may be obligations to the provider of such materials. The Department should provide the applicable agreements or record numbers so that the SMPH Contracts office can determine if any obligations need to be flowed down to the recipient site.
In some situations, permissions may be required from the original provider of these components. If the researcher already has advanced permissions to share, it is helpful to have this documented in the RAMP record to help streamline the process.
Determine if the Material includes human subjects derived material
If the Materials incorporate Human Subjects Derived Material, the Department should determine whether they have the appropriate IRB approvals to release these samples. The Department should provide the applicable data elements that accompany the data as well as the applicable IRB number under which the samples were obtained.
Please consult with the SMPH Contracts office for advice on the appropriate template for transfer of human subject derived materials. Generally, the AUTM template for human tissue will be an appropriate template for these types of transfers, however, there may be situations where another template is applicable, or modifications to the AUTM template are needed.
Determine the applicable template for the transfer
For academic transfers, SMPH largely relies on the standard templates outlined above. Use of such templates greatly reduces the time to finalize the agreement.

Set up a RAMP record, and fill out the applicable smart form for outgoing material transfers
Set up a RAMP record for the outgoing Material Transfer Agreement, complete the applicable smart form, and follow RAMP instructions for submission
Incoming MTA Workflow
UW does not require MTAs for incoming materials, but an MTA may be recommended if the investigator intends to further share the materials with another collaborator.
If an investigator is sharing Materials incorporating a third-party component, determine if the investigator needs to further share the original materials or modifications of such materials
If the providing site requires an MTA, recommend using the Simple Letter Agreement or UBMTA to facilitate negotiations.
Follow guidelines below for standardized MTA transfers (Addgene, ATCC, UBMTA)
Complete any applicable attachments in the MTA (e.g. name of the material, scope of use, term of the agreement, and any other attachments included with the MTA)
Set up a RAMP record for the incoming MTA, and follow RAMP instructions for submission.
Make a note of any plans to further transfer the materials or modifications
Under Manage relationships, include the RAMP number of (1) any source funding the research, or (2) any other materials used in conjunction with the requested materials
Other considerations
Please include the applicable funding string in the RAMP record
Many MTAs restrict use of the materials to internal research or non-commercial purposes. Please consider the terms and conditions of any existing projects you have that will coincide with your use of the material(s)
Do you anticipate sharing the materials with collaborators?
MTAs often include restrictions on how and to whom materials (and modifications) can be shared.
If there’s a plan to share now or in the future, we should address that need upfront.
Will the materials be used with other materials subject to restrictions?
If we intend to use the requested materials in conjunction with third-party materials, those third-party materials may have been obtained subject to an agreement which conflicts with the terms of the MTA
